Secure Print Release

Unraveling the Magic of Print Release with PaperCut

A Comprehensive Guide to Secure and Efficient Printing

Introduction

In today's fast-paced business world, the need for secure and efficient printing solutions is more important than ever. PaperCut, a leading print management software, has answered this call by introducing print release functionality. This innovative feature allows schools to maintain control, reduce waste, and ensure the privacy of their printed documents. In this blog post, we will explore how print release works on PaperCut and the benefits it brings to schools of all sizes.

What is Print Release?

Print release is a feature in PaperCut that enables users to release their print jobs manually at the printer or Multi-Function Device (MFD) of their choice. Rather than automatically printing every document as soon as it's sent to the printer, print release holds the print job in a secure queue until the user is physically present and ready to collect their documents.

How does Print Release work on PaperCut?

  1. User Authentication
PaperCut's print release feature starts with user authentication. When a user chooses the printer PBR1_VQ and prints a document, that print job is tied to the unique credentials they used when logging into their computer. This step ensures that only authorized users can access the printer and release their print jobs.
  2. Print Job Storage
After authentication, the print job is stored in a secure, encrypted queue on the PaperCut server. This queue acts as a temporary holding area for print jobs until the user is ready to release them at the printer.
  3. Print Job Release
When the user is ready to collect their print job, they simply approach the printer or MFD and authenticate themselves again. This can be done by tapping your AlphaPass proximity card on the card reader attached to the MFD. Once authenticated, the user can view and select their print jobs from the queue.
  4. Print Job Deletion
Once the print job is released and completed, it is automatically removed from the queue and securely deleted from the PaperCut server. This ensures that no sensitive information is left behind or accessible to others.

Which Devices Support Print Release?

Print jobs may be relased at any Konica-Minolta BizHub copier or HP Workgroup printer with a proximity card reader.

  • Konica-Minolta BizHub Copiers
BizHub copiers (as pictured below) have a proximity card reader attached to the side or top of the copier which allows you to authenticate and release your print jobs.  On BizHub copiers, you can also scan documents directly to your email address or send them to another user.
  • HP Workgroup Printers
Workgroup printers (as pictured below) have a proximity card reader attached to the top or side of the device which will immediately begin printing your stored jobs when you authenticate by tapping your AlphaPass card on the card reader.

The Benefits of Print Release on PaperCut

  • Enhanced Security
By requiring user authentication and holding print jobs in a secure queue, print release ensures that only authorized users can access and collect their printed documents. This prevents sensitive information from falling into the wrong hands and reduces the risk of data breaches.
  • Reduced Waste
Print release helps reduce paper and toner waste by ensuring that only necessary documents are printed. Users are more likely to reconsider whether they need a physical copy of a document when they must manually release it, which can lead to fewer unnecessary printouts.
  • Improved Privacy
With print release, users don't need to worry about leaving confidential documents unattended on the printer. They can simply release their print jobs when they are ready to collect them, ensuring that sensitive information remains private.
  • Streamlined Printing
By allowing users to release their print jobs at any printer or MFD within the school, print release promotes more efficient use of resources. Users can choose the most convenient or available device, reducing wait times and improving overall productivity.
Print release on PaperCut is a powerful feature that helps schools maintain control over their print environment, reduce waste, and protect sensitive information. By implementing this secure and efficient printing solution, we can not only save time and resources but also strengthen our data security practices.
